Union Health E-Mail Message Encryption

Introduction

Encrypting an email message is essential when you need to protect the privacy and confidentiality of the information being shared outside of Union Health. If you're sending confidential or sensitive information, such as personal data, financial details, medical records, or proprietary business information, encryption helps ensure that only the intended recipient can read the message. Email encryption guards against unauthorized access by someone who may intercept messages in transit.

Information/What to Know

Union Health’s email service can send encrypted messages to recipients outside of the @Union.Health email system with either auto-encryption or forced message encryption. 

Auto-encryption of an email message occurs when the email system detects either ePHI, credit card data, or social security numbers.

Forced encryption of an email message is an optional method that you can initiate.

Forcing an Encrypted Email Message

  1. Open a new email message.
  2. In the subject line, type [Encrypt] before the actual subject.
  3. Type your message.  When finished send the message as usual.

Receiving Encrypted Email Messages

  1. Open the email message.
  2. Click the “Click here” link in the email. This will open a new browser window.

  1. You will then receive an email containing a Proofpoint validation code:

  1. Complete the registration form including the validation code:

  1. Once this is completed then the message will be displayed:

  1. The option to Reply, Reply All, and Forward are available.
    1. If Forward is utilized then the recipient will also need to register and validate their account.
